Trainee Administrator, Artist Management Department

Intermusica are looking for someone interested in pursuing a career in artist management to be a Trainee Administrator. The ideal candidate will be a confident, adaptable, highly-organised and self-motivated individual. You will gain an invaluable insight into one of the most highly respected classical music artist management agencies, by supporting the Assistant Artist Managers in arranging the many logistical aspects of their clients’ engagements.  You will also carry out a variety of general office tasks and become an integral member of the team.  This role provides an excellent administrative training, as well as direct and relevant experience in order to embark on a career in arts management.

WHAT YOU WILL LEARN

Artist Management Support

  • Assist with travel and accommodation for artists including researching and booking trips
  • Partner with Assistant Artist Managers to keep artists’ diaries up-to-date, clear and correct and all the necessary information is included
  • Produce detailed schedules for artists and ensure that they have all the required information to fulfil his/her commitments
  • Produce and update schedules for interested parties that work closely with the artist (e.g. recording companies, local agents, PR agents)
  • Assist in drafting news stories for artists’/Intermusica’s website; work with Assistant Artist Managers on biographical material; assist in mailings and other sales tools; secure copies of audio/video recordings
  • Process Artist Manager’s cash returns and expenses

General Office Responsibilities

  • Manage incoming and outgoing post, as well as arranging couriers, as requested
  • Weekly ordering of office supplies (stationary and kitchen)
  • Board Room hospitality for guests or large internal meetings
  • Answer the office switchboard and field telephone calls
  • Facilitate employee ticket allocations, in line with concert ticket guidelines
  • Liaise with promoters for agent comps

KNOWLEDGE, SKILLS, EXPERIENCE

Essential

  • Excellent written and verbal communication skills
  • Confident and appropriate phone manner
  • Resilient and calm under pressure, with the ability to multitask and deal with conflicting priorities in a frequently fast paced environment
  • Highly organised with an aptitude for forward planning and able to work to deadlines
  • Excellent attention to detail to ensure that artists receive correct, well-researched information
  • Confident, with a flair for forming good relationships with a wide range of people
  • A proactive team player who demonstrates a positive and flexible approach
  • Reliable and conscientious, with the desire to excel at all levels
  • Good IT skills, with a working knowledge of Microsoft Office
  • An interest and understanding of classical music

Desired

  • Experience of organising international travel
  • Previous administrative experience
  • Fluent or proficient in a second language

ACADEMIC REQUIREMENTS

  • Graduate or equivalent level
