Trainee Administrator

Intermusica is an international classical music agency that enables the world’s most talented artists to realise their full potential. They represent conductors, instrumentalists, singers and composers, tour orchestras internationally and develop award-winning projects.

They are seeking a highly-organised individual to work within the Artist Management department in this 6-month fixed-term contract, full-time role. This role would combine supporting Assistant Artist Managers in the servicing of their artists as well as general office tasks for the department.

This is an invaluable opportunity to gain insight into the workings of one of the most highly respected classical music artists’ management agencies as well as gaining direct and relevant experience in order to embark on a career in arts management.

RESPONSIBILITIES

Travel & Accommodation

  • Researching and booking travel and accommodation
  • Assistance with visa and work permit applications

Diary and Schedules

  • Responsibility for keeping artist’ diaries (via Overture) up-to-date, clear and correct – keeping constant contact with Assistant Artist Managers to ensure all the necessary information is included
  • Producing detailed schedules for artist and ensuring that the artist has all the required information to fulfil his/her commitments
  • Producing and updating schedules for interested parties that work closely with the artist (e.g. recording companies, local agents, PR agents)

Contracts and Finance

  • Initial checking of contracts
  • Producing financial paperwork promptly (financial summaries, invoices, etc)

Marketing and PR

  • Drafting news stories for artists’/Intermusica’s website
  • Working with Assistant Artist Managers on biographical material
  • Assisting in mailings and other sales tools; securing copies of audio/video recordings

General Office Responsibilities

  • Manage incoming and outgoing post
  • Weekly ordering of office supplies
  • Board Room hospitality for guests or large internal meetings
  • Answering phone calls
  • Maintaining ticket list for employees
  • Liaising with promoters for agent comps

KNOWLEDGE, SKILLS, EXPERIENCE

  • The candidates will be graduate calibre
  • A working knowledge of classical music is key
  • A flair for forming good relationships with a wide range of people
  • The role requires an ability to act with initiative and tact, representing the company in a variety of situations, including in meetings and at concerts
  • The applicant must be fluent in written and spoken English
  • Excellent written and verbal communication skills
  • A high level of computer literacy
  • Excellent organisational skills
  • An analytical mind
  • A strong eye for detail
  • The ability to multitask and work quickly
