PA to Directors/Team Assistant

Part of the YM&U GroupTroika is a one of a kind talent agency that has been responsible for nurturing the careers of some of the most famous names in the entertainment industry. Their clients include Daniel Kaluuya, Graham Norton, Miranda Hart, Michael Fassbender, David Walliams and Anya Taylor-Joy.

They are looking for someone who will assist two of the Directors within Troika and Entertainment with administrative and secretarial tasks on a daily basis. You will have have to be fast-paced and adapt to the ever-changing environment. The ideal candidate will be a natural troubleshooter, always thinking of creative and innovative ways of working to deliver the highest level of support, and assist the Directors in achieving their commercial goals.

RESPONSIBILITIES

  • Supporting two of the TV Board Directors with varied business and private affairs
  • Managing two busy diaries, making appointments and ensuring that they are well prepared for meetings
  • Arranging travel and accommodation (UK and International) and logistics
  • Ensure all calls are answered in a professional manner, messages are taken accurately and passed on immediately
  • Extensive organisation of internal and external meetings including with clients. Tracking of acceptances and declines for meetings and taking necessary follow up steps
  • Handling documents and client contracts, many of which are of a highly confidential nature, you will also be responsible for document tracking
  • Acting as the first point of contact – hosting visitors, liaising with members of the Senior Management Team, etc
  • Basic financial duties including authorising invoices and submitting expenses
  • Covering Agents Assistants when on they are on annual leave
  • Helping to coordinate Staff Summer/Christmas/Conference parties and Team Socials
  • Supporting the team with logistics for clients
  • Handling charity/fan mail request and responding to basic invites
  • Organising gifts to send to clients
  • Occasional attendance at events/shoots with Talent

KNOWLEDGE, SKILLS, EXPERIENCE

  • Excellent organisation and administration skills
  • Previous experience providing PA support in a similar role not essential but desired
  • Strong interpersonal skills, able to work with people at all levels in the organization
  • Proactive and forward-thinking; able to use own initiative
  • Professional appearance and approach
  • Ability to deal with highly sensitive and confidential issues in a professional manner
  • Positive attitude with plenty of energy and enthusiasm
  • Able to manage under pressure and conflicting demands as well as prioritize tasks from several managers
  • Able to plan work on his/her own initiative and to tight deadlines
  • Excellent attention to detail
  • Commercial awareness, strategic thinking and pro-active contribution
  • A relevant industry background, ideally media will be looked upon favourably
