Development Events Coordinator

The National Theatre is dedicated to making the very best theatre shows on the West End and Broadway, and sharing it with as many people as possible. Their aim is to inspire artists and audiences to think in new ways, to constantly re-imagine the act of making theatre.

The Development Events Team create, plan and deliver an extensive programme of events in support of their membership and fundraising strategy. Their events are a key element in building relationships with potential and existing donors and members (individual and corporate) and recognising their support. The events play an important role in ensuring that supporters continue to feel motivated and engaged with the National Theatre.

They are looking for a Development Events Coordinator to join their team and provide administrative support under the supervision of the Development Events Manager. The placeholder will ensure the smooth running of all Development Events and to help co-ordinate the event needs of the different sectors.

RESPONSIBILITIES

  • Be responsible for the administration and smooth running of all Development events at the National Theatre under the supervision of the Development Events Manager
  • Attend and administrate a calendar of events throughout the year, as well as attending meetings and presentations with the Development Events Team and other Development staff as appropriate
  • Create and circulate the necessary briefing documents and Event Summary Sheets for all Development events on a weekly basis for internal stakeholders
  • Arrange transport and book meeting spaces for the Development Events team as necessary
  • Arrange site visits and liaise with external venues and clients
  • Ensure that the Development Events office and storage facilities are kept in a neat and tidy manner; regularly stock checking and re-ordering supplies as needed
  • Create an annual Development Events print archive
  • Ensure all invoices related to Development Events are quickly raised and paid using the NT finance systems
  • Organise the department’s smaller cultivation events for the Individual Giving Team including: standing receptions and bespoke initiate dinners
  • Hold pre-event briefings and post-event debriefs with the wider Development team

KNOWLEDGE, SKILLS, EXPERIENCE

  • Some experience of administration and an interest in events
  • Excellent and proven organisational and time management skills
  • Good word processing and spreadsheet skills
  • Experience of databases such as Tessitura
  • Ability to communicate with a wide range of people at different levels
  • Good presentation and influencing skills
  • An interest in Events and/or Fundraising
  • Ability to work on some weekday evenings on a regular basis and very occasionally on a weekend (Time off in lieu for evening and weekend work is given)
