Group Administrative Assistant, Europe

Marcom is Apple’s Global Marketing Communications group. They oversee all of Apple’s advertising and marketing to ensure the flawless development and execution of world-class communications. They represent the voice of Apple and offer you the opportunity to do the best work of your life.

Marcom is now seeking a Group Administrative Assistant to join their team in London. The Group Administrative Assistant acts as a liaison between the senior Marcom leaders, business teams and external business partners. This individual will handle complex calendar management, field requests from team members, and assist the Marcom leaders with travel and expenses. This position will support a variety of senior Marcom leaders and/or Creative Directors as well as work collaboratively with all staff across Marcom and Apple worldwide.


  • Heavy calendar management (iCal) -manage daily calendars demonstrating flexibility and problem solving abilities; adjust and prioritise schedules due to last minute changes from conflicting meetings, coordination with executive schedules, and meeting room availability
  • Coordinate key team meetings with internal leadership teams across Apple as well as with external business partners
  • Answer correspondence and redirect as needed to teams within Apple
  • Set up large team meetings, organising catering when needed
  • Organise team off site meetings
  • Arrange complex domestic and international travel and process expense reports
  • Manage supplies and equipment

Knowledge, skills, experience

  • Minimum of 2-3 years experience supporting large teams or senior executives
  • Great verbal and written communication skills
  • Ability to communicate optimally with senior executives and their assistants
  • Proactive problem solving abilities, able to deal with challenging deadlines and priorities
  • Able to anticipate change and react efficiently; able to manage ambiguity
  • Able to handle multiple tasks for multiple individuals
  • Discretion in handling confidential materials and issues
  • Excels under pressure, able to maintain a calm, friendly and helpful demeanour
  • Works well independently, and with a team
  • Strong interpersonal skills
  • Ability to thrive in a dynamic creative studio environment
  • Experience working in a creative advertising agency or design studio would be desirable
